Manage User Profiles in Azure Files

The User Profiles tab gives you a single, per-user view of FSLogix profile data across your Azure Files shares. Instead of opening each file share individually to figure out which user's profile lives where, Nerdio Manager lists every profile in one place, along with its file share, size, and usage against the share's quota.

Note: The User Profiles tab currently supports Azure Files only. Profiles stored on Azure NetApp Files are not shown here.

      Navigate to the User Profiles tab

      From NME Dashboard:

  1. In Nerdio Manager, navigate to Cloud Desktops> Storage > Azure Files.

  2. Select the User Profiles tab. This tab sits alongside the Shares and Tasks tabs.

      From FSLogix Insights:

  1. Navigate to Observability > Azure Virtual Desktop (under Insights). From there, Select the FSLogix tab.

  2. Select To Azure Files located next to the filter at the top of the page, then select the User Profiles tab.

Note: You can also select a segment of a dashlet (for example, a bar in Users With Multiple Profiles) and then Manage Profiles in the dialog that opens, which takes you to the User Profiles tab with the equivalent filter already applied.

      Profile list

The profile list can be searched using the Search box, and narrowed using the Filter button (see Filter the profile list below). Select one or more profiles using the row checkboxes, then select Select bulk action and choose Force collect FSLogix profiles for selected File Shares to refresh just those profiles on demand, rather than waiting for the daily sync.

Each row in the list represents one profile and includes the following information:

Field

Description

User / UPN

The name and user principal name of the profile owner.

File

The profile file name (for example, Profile_username.vhd).

File Share

The Azure Files share where the profile is stored, and the storage account it belongs to.

Labels

The profile's container type, FSLogix or ODFC (profiles that contain only Microsoft 365 data and don't use full FSLogix functionality), plus its Archived state if applicable. A profile can show more than one label at a time.

Last Login

The date and time the user last logged on with this profile.

Size (GB) / Quota (GB) / Usage

The profile's current size, the configured quota for its file share, and a progress bar showing usage as a percentage of that quota.

Status

A health indicator based on the profile's Usage percentage: Healthy (90% or below), Warning (above 90%), or Critical (above 95%). Status is calculated per profile, so a user with multiple profiles can have a different status for each one.

Selecting the menu at the end of a row provides profile-level actions. The available actions depend on whether the profile is archived:

  • Force collect FSLogix profiles: Refreshes the profile data for that row on demand, rather than waiting for the daily sync. Available for all profiles.

  • Reset FSLogix profiles: Opens the Reset FSLogix Profiles dialog for active (non-archived) profiles. See below.

  • Restore FSLogix profiles: Available for archived profiles in place of Reset FSLogix profiles. Restores the profile so it can be used again.

Reset FSLogix profiles opens the Reset FSLogix Profiles dialog, which logs the user off and resets the profile to resolve or troubleshoot profile-related errors. The dialog shows the Tenant, User, and matching Profiles, and lets you choose one of the following:

  • Delete files now: Permanently deletes the profile. A new profile is created the next time the user logs on.

  • Archive files instead of deleting: Renames the profile so it will no longer be used by the FSLogix service, without deleting its data. An archived profile can later be restored using Restore FSLogix profiles from that profile's row.

  • Archive files for 30 days, then delete: Archives the profile as above, then automatically deletes it after 30 days.

Warning: Unless you select Archive files instead of deleting or Archive files for 30 days, then delete, Delete files now permanently deletes the profile's data. This action cannot be undone.

Note: A similar Reset FSLogix Profile option is also available from the action menu on the User Sessions tab (Workspaces > a workspace > User Sessions), scoped to a user's active session.

      Advanced search

Nerdio Manager automatically detects profile locations using the FSLogix and ODFC configurations set up in your environment. Expand Advanced search in the Reset FSLogix Profiles dialog only if there is no global or custom FSLogix configuration that matches your environment's settings, or if you need to search using a custom naming pattern.

Note: In Entra Domain Services scenarios, the user SID varies between Directory Services and Entra ID, so searching by SID is not possible. Enable SID compatibility mode in the advanced search options when searching for Entra Domain Services user profiles.

Each detected FSLogix or ODFC storage configuration is listed as its own collapsible search entry, showing the search query pattern used to locate profiles (for example, \\storageaccount.file.core.windows.net\share\%sid%_%username%\Profile_%username%.vhd). Select + to add a custom search entry, or the icon to remove one. Naming patterns can be customized in cases where the %sid% or %username% variables don't return the results you expect.

Once you've defined the search criteria you need, select Refresh to update the Profiles field with matching results.

      Filter the profile list

Selecting Filter opens a dialog with the following criteria, which can be combined:

  • File share: Limit results to one or more Azure Files shares.

  • Host profile: Limit results to a profile container type, FSLogix or ODFC.

  • Status: Limit results to profiles with a specific Status value.

  • Last login: Limit results to a date range.

  • Size (GB) and Quota (GB): Limit results to a minimum and/or maximum value for each.

  • Archived: Limit results by archived state.

  • Orphaned: Limit results by orphaned state.

  • Include users with multiple profiles only: Toggle on to show only profiles belonging to users who have more than one profile. Turning this on enables the Profiles in group option below.

  • Profiles in group: Available when Include users with multiple profiles only is turned on. Limits results to users with an exact number of profiles (for example, 2, 3, or 6), matching the profile-count groupings shown in the Users With Multiple Profiles Insights dashlet.

The Filter button displays a badge showing the number of active criteria, and the bottom of the list shows a Showing: X of Y count reflecting them.

      Multiple profile detection

If a user has more than one FSLogix profile, each of that user's rows displays a badge under the UPN column in the format X of Y (for example, 1 of 3 and 3 of 3 for a user with three profiles spread across different file shares). This makes it easy to spot users with duplicate or stray profiles that may need to be consolidated or cleaned up. To see only these users, turn on Include users with multiple profiles only in the Filter dialog.
