Enhancement: Notify an additional email recipient when desktops are scheduled to be deleted

Enhancement Requests for Automated Notifications

Current Issue: The current verbiage in the automated notification is bland and has caused confusion among users. The existing message is as follows:

"This is an automated notification.

The personal Azure Virtual Desktop (%HOSTNAME%) has not been accessed for 36 days (the threshold is 30 days). This desktop is scheduled for deletion at 05:04:19 PM "UTC" on 01/22/2025. To prevent this deletion, please exclude the host from auto-scale using the host's context menu."

Requested Enhancements:

Customizable Email Notifications:

  • Ability to customize the email notification content.
  • Option to add links, images, and other multimedia elements.
  • Additional Usable Variables:

Include more variables in both the automated email and the "Notify users of scheduled deletion" email, such as:

  • Device Name: %HOSTNAME%
  • Workspace: %WorkSpace%
  • Hostpool: %HOSTPOOL%

Personalized Addressing:

  • Ability to grab the user's first and last name for personalized addressing.
  • CC Line Manager:
  • Option to CC the user's line manager in the notification email.

Hi Phil Hurley - For auto-shrink tasks, we offer the ability  to fully customize the subject & body of the message sent to users, we also offer the option to notify an additional recipient. 

There are a number of additional variables available which are detailed in the tooltip:

Yes, the variables are great, and I'll add a few more to our custom emails. I remember asking for this a year or so ago, and it's awesome they have implemented it.

How about the "Additional email recipient"? How do we change that email body?

Most of my original question was around that TBH.

Ah ok, I didn't pick up that you wanted to customize the email text to the additional recipient. Currently its just a CC function, we don't send a separate email. I will capture your request in our backlog. Thanks!
